- Strong KPI reporting, stakeholder communication, people leadership and operational planning skills
- Fluent English and a practical interest in automation, AI and digital productivity tools

As our Marketing Operations Coordinator, you'll work within our Global Marketing team, driving the successful delivery of marketing projects across multiple brands, markets and international stakeholders. You will act as the central operational link between internal stakeholders, our in-house design team and external agency partners, ensuring priorities, resources and timelines remain aligned. In this role, you will also lead and coordinate our in-house design team, supporting their development, workload planning and performance.
Key responsibilities
Workflow, Resource & Agency Management
- Manage the end-to-end flow of marketing requests through our project management tool (Wrike).
- Review incoming briefs and ensure all required information is available before work begins.
- Prioritize and allocate work based on business priorities, team capacity and agreed service levels.
- Lead, coach and coordinate our in-house designers, supporting their development, performance and workload planning.
- Manage internal and external resource planning to ensure balanced workloads and the successful delivery of projects on time, within scope and according to expectations.
- Act as the primary coordination point between stakeholders, in-house designers and agency partners.
- Support budget follow-up, agency management and vendor performance monitoring.
Performance Management & Operational Excellence
- Define, track and optimize key operational KPIs, including throughput, delivery times, capacity, quality standards, and SLA performance.
- Build dashboards and reports that provide visibility into team performance, workload, quality metrics, and operational effectiveness
- Analyze operational data and translate insights into process improvements.
- Support the definition and implementation of service level agreements across the marketing organization.
- Establish and maintain quality control processes, including final reviews, to ensure marketing deliverables consistently meet brand, content and production standards.
- Identify opportunities to improve efficiency through automation, AI and digital tools.
Systems & Process Management
- Define, document and continuously improve marketing processes and workflows.
- Support and optimize marketing platforms (Wrike, Kadanza); liaise with the Communications team on Hub Spot-related workflows.
- Ensure process consistency, data quality and user adoption across systems.
- Coordinate translation and localization workflows to ensure timely delivery.
- Bachelor's degree combined with a minimum of 4-5 years' experience in marketing operations, creative operations, traffic management, or resource/project management within a full-service marketing, creative or digital agency environment.
- Strong understanding of workflow management, resource planning, and operational processes.
- Analytical skills with experience using KPIs and reporting to drive improvements.
- Experience with project management platforms (e.g. Wrike), including resource planning, workload management, capacity forecasting and the coordination of creative or production workflows.
- Strong stakeholder management, communication and people leadership skills.
- Interest in automation, AI, and digital productivity tools.
- Fluent in English.
