Top Hat is looking for an ambitious, detail-oriented Event Marketing Specialist to support the execution and optimization of our event marketing program, consisting of webinars, trade shows, conferences, and our annual user conference.
The Event Marketing Specialist will work closely with cross-functional partners across Marketing, Sales, and Customer Success to ensure the successful planning, promotion, and execution of events. This role requires a strategic thinker with strong project management skills, creative flair, and a passion for delivering exceptional event experiences.
You Will:
Strategy Execution & Optimization
Execute the event marketing strategy, translating goals and KPIs into concrete event plans
Recommend tactical optimizations based on past event performance (e.g., format changes, channel mix shifts)
Partner with Sales and Customer Success to identify event opportunities, support campus visits, and coordinate post-event lead handoff and follow-up
Event Planning & Execution
Lead logistics for all assigned events, including but not limited to venue selection, booth design, staffing, and vendor management
Build and manage project timelines and budgets to ensure on-time and on-budget delivery
Serve as the primary point of contact for vendors and venues, negotiating terms and resolving issues in real time
Provide planning and logistical support for internal events that foster connection and promote company culture
Content & Promotion
Coordinate event-specific content production with marketing channel owners (email, social, web, creative)
Track deliverable timelines and flag risks before they become blockers
Audience Engagement
Execute pre-, during-, and post-event engagement tactics like lead capture, networking logistics, and attendee communications
Collect and compile attendee feedback
Measurement & Reporting
Track event metrics: registrations, attendee demographics, website traffic, and conversion rates
Build clean, standardized reports for leadership review post-event
Flag notable trends or anomalies in the data
About You:
Minimum two years of event marketing or event operations experience
Proven track record of managing multiple vendors, event budgets, and project timelines simultaneously
Strong attention to detail and comfort working in a fast-paced, deadline-driven environment
Solid written and verbal communication skills for vendor negotiation and cross-functional coordination
Comfortable pulling and organizing event performance metrics into clean reporting
Flexibility to travel and work occasional evenings/weekends for events
Familiarity with project management software, event management software, Salesforce, the Google Workspace and generative AI is considered an asset
Special consideration will be given to Toronto and GTA-based candidates to facilitate in-person collaboration at our Toronto HQ
