The Opportunity

Events are an important part of how MedMe meets customers and partners. We attend approximately 25 to 30 events a year across Canada, the US and occasionally the UK, from major trade shows and pharmacy conferences to smaller meetings and dinners.

As Event Marketing Manager, you will turn that calendar into a well-run program. You’ll help decide how MedMe should show up at each event, manage the preparation and logistics, and make sure we follow through on the conversations it creates. Most events will be staffed by our founders, Sales or Business Development teams. You’ll prepare them to run the event on site and support them remotely. For the select events you attend, you’ll coordinate setup, the event itself and teardown.

This role sits on the Marketing team and works closely with Sales, Business Development, account management, design and our executive assistants.

What You'll Do

Plan MedMe's presence at each event

  • Work with Marketing and the commercial team to set the audience, objective and format for each event, whether that's a booth, meetings, a speaking slot, a sponsorship or a hosted dinner.

  • Pursue speaking, panel and other opportunities for MedMe's leaders and customers to take part.

  • Manage registrations, exhibitor requirements, deadlines, badges, vendors and budgets, and coordinate travel with our executive assistants.

  • Prepare briefs so everyone attending knows the schedule, who they're meeting and what MedMe is there to do.

Deliver a strong on-site experience

  • Plan booth layouts, signage, collateral, equipment and activities, and brief our designer on what to create or adapt from existing materials.

  • Manage printers, show contractors, rental companies, shippers and other vendors, and keep track of booth materials and swag.

  • Plan dinners and hosted events with Sales and BD, including guest lists, invitations and RSVPs.

  • Run events on site when needed, from setup to teardown. For events you don't attend, give the team practical instructions and be on call for vendor or logistics issues, including some evenings and weekends.

  • Help the team capture photos, video and observations.

Make the follow-up count

  • Set up lead capture before each event and make sure contacts and notes land in HubSpot with the right owner.

  • Run a short debrief after each event on what we learned, who we met, what worked and whether it's worth attending again.

  • Track spend and results to inform the event calendar over time.

About You

You know how to make people want to attend an event, and glad they came. You have a feel for different audiences: what will catch a pharmacy owner’s attention at a booth, what will make an executive accept a dinner invitation, and what will make guests stay and talk. You use that instinct to shape events that feel thoughtful and memorable.

You’re creative with a budget. You know where spending will make a difference, where a good idea can do more than an expensive one, and how to negotiate with vendors to get the most from what we have. You care about the experience right down to the details: how people find the booth, how a room feels when guests arrive, and whether the team has everything it needs before the doors open.

You can keep several events moving at once without losing track of those details. When plans change, you stay calm, find a solution and keep everyone informed.

You bring:

  • At least three years of experience planning and delivering events, ideally in event marketing, field marketing, trade shows, experiential marketing or hospitality.

  • Experience finding, negotiating with and managing vendors, while delivering events within budget.

  • A track record of managing multiple events at the same time, from planning through follow-up.

  • Strong organization and communication skills, especially when preparing others to run an event on site.

  • Comfort using a CRM such as HubSpot to track contacts and follow-up.

Experience with pharmacy, healthcare or B2B software events is helpful. So is experience with event technology, photography or short-form video.

Success in This Role Looks Like

  • 30: Take ownership of the events already on the calendar and get to know the people, vendors and processes involved.

  • 60: Tighten up the briefs, packing lists and processes the team relies on, so people arrive at events prepared.

  • 90: Make sure hosted events reach the people we meant to reach, and that every lead makes it into HubSpot with a clear owner.

  • Long term: Give MedMe a clear view of what each event cost, what came of it and where to invest next.

Location

This is a hybrid position, based at our office located at the intersection of Adelaide and Spadina in Toronto, with in-person work required 2-3 days per week, aligned to operational needs. Occasional travel is expected for customer meetings, partner discussions, and industry events. Remote candidates may be considered on an exceptional basis based on experience.

Compensation

The salary range for this role is CAD $70,000.00 - $100,000.00 annually. Compensation is determined based on experience, skills, and alignment to the role's scope. We're happy to discuss the full details of our compensation package with candidates who progress through our interview process.
