Position Overview
The Associate, Creative Production provides essential administrative and logistical support to Free Association Live’s producing team. Primarily serving as the Executive Assistant to the President of Content and Production, with the opportunity to expand support to another executive over time, this role supports a fast-moving, collaborative producing team responsible for the development and production of live entertainment projects.
The role also oversees Investor Relations, managing detailed administrative tracking of fundraising across multiple projects and serving as a key point of coordination for investor communications, documentation, and related processes.
The ideal candidate is highly organized, resourceful, detail-oriented, and an excellent communicator, with a professional and collaborative demeanor and a genuine interest in live entertainment and creative production.
Key Responsibilities
Executive and Administrative Support
- Manage complex calendars and coordinate high-level meetings across time zones and productions.
- Arrange domestic and international travel, including creating detailed itineraries and managing logistics.
- Draft, edit, and manage correspondence, presentations, and other confidential documents.
- Prepare for meetings by compiling agendas and materials, and take and distribute meeting notes when necessary.
- Occasionally serve as on-the-ground support for the creative team and company management at rehearsals, press events, and other in-person events.
- Represent the producing office professionally in interactions with internal teams, creative partners, vendors, and other external stakeholders.
- Handle sensitive and confidential information with discretion and integrity.
Investor Relations
- Serve as the primary point of contact between co-producers, investors, and Free Association Live.
- Maintain detailed tracking of investor commitments, fundraising status, paperwork, and funds received across multiple projects.
- Review investor documentation and wires, and work directly with investors to ensure accuracy, completeness, and timely processing.
Qualifications
- Minimum 2 years of experience as an Executive Assistant or in a similar administrative or coordination role, ideally within entertainment, media, theatre, or a related industry.
- Experience supporting theatrical fundraising processes, including investor documentation and financial tracking.
- Superior organizational and time management skills, with impeccable attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Google Workspace, Zoom, and Mac-based systems.
- Strong proficiency in Microsoft Excel or Google Sheets, with experience managing detailed tracking documents and spreadsheets.
- Genuine interest in live entertainment and creative production, with a willingness to learn and take initiative.
- Familiarity with the entertainment landscapes in New York, Los Angeles, London, and Las Vegas is a strong plus.
- Familiarity with the processes and logistics of physical theatrical production is a strong plus.
Salary
- $65,000-$75,000 depending on experience.
