Requirements

Experience Needed:

- Executive assistance / general operations: managing day-to-day admin, keeping the owner organized, owning recurring tasks without hand-holding

- Email administration and inbox management

- Calendar and appointment coordination

- Appointment-setting outreach (B2C) to book patients

- Patient pipeline tracking: blood work follow-ups, lab results, next-step coordination

- Social media execution - schedule and post social media posts primarily to Instagram but comfortable with all social media. Will be responsible for posting content to social media platforms.

- Comfortable using AI tools in daily workflow (ChatGPT, Claude) — able to lean on them to work faster and solve problems

- Resourceful and self-teaching: can look things up, figure out unfamiliar tools, and get up to speed on new tasks without step-by-step instruction

Good to have:

- Warm, positive personality; funny; easy to work with

- Healthcare / telehealth background

- Effective-over-perfectionist working style

- Proactive operator who spots and fixes gaps before being asked

- Strong AI fluency — actively uses AI to teach themselves and speed up their work

- Prior GoHighLevel or similar CRM experience

- Genuine interest in health/wellness

Non-negotiable Requirements:

- Integrity and honesty

- Effective worker who can operate independently with minimal oversight

- AI-comfortable and resourceful: leans on AI tools, looks things up, and teaches themselves unfamiliar tasks without hand-holding

Industry/Tools Experience:

- Healthcare / telehealth experience

- Appointment setting, labs, telehealth workflows

- Genuine interest in health

- Tools: Canva, Instagram, Content 360, email/calendar admin, Ivory.io / GoHighLevel (future), ChatGPT & Claude; Labcorp (biometric testing); possibly Clay or Apollo for outbound later
