Position Summary
- Provides administrative and operational support for the Marketing team
- Coordinates conferences, trade shows, and sponsorship/partnership activities
- Manages the company store and promotional materials
- Supports signage and branding requests
- Processes Marketing invoices and vendor set-ups
- Provides general office coordination support (office logistics/invoices, local VP expenses, travel coordination)
Essential Functions
- Marketing Event & Partnership Coordination – Coordinate logistics for conferences, trade shows, and company-sponsored events; manage hospitality, ticketing, and travel for sponsorship/partnership activities (e.g., Penn State Athletics, NASCAR); plan logistics for large group meetings/events.
- Company Store & Promotional Materials Management – Own and manage the company store (ordering, tracking, replenishing promo items/branded merchandise); coordinate with print vendors on business cards/print materials; support vendor consolidation.
- Signage & Branding Support – Manage signage/branding requests for district offices and commercial customers; partner with National Accounts on signage needs (e.g., ACE/Vending), routing requests appropriately.
- Marketing Invoice Processing & Vendor Administration – Process Marketing invoices, coordinate with Accounts Payable, manage new vendor set-ups.
- Office & Administrative Support – Provide general office/admin support (scheduling, correspondence, day-to-day coordination) as time allows.
Knowledge, Skills and Abilities
- Strong project management and organizational skills to coordinate multiple events, vendors, and requests simultaneously
- Experience coordinating conferences, trade shows, or sponsorship/partnership hospitality logistics
- Familiarity with invoice processing, accounts payable workflows, and vendor set-up procedures
- Ability to manage inventory and ordering for promotional materials or a company store
- Strong attention to detail and communication skills across Marketing, National Accounts, and outside vendors/partners
- Ability to adapt to changing priorities and manage multiple projects in a fast-paced environment
Minimum Qualifications
- Education: Bachelor's degree preferred or equivalent work experience
- Length of Experience:
- 10+ years in marketing administration, event coordination, or office/administrative management
- Experience coordinating conferences, sponsorships, or promotional/marketing materials preferred
- Experience processing invoices or supporting accounts payable functions preferred
