We are looking for a Lifecycle Marketing Manager to own the applicant messaging stack at our next-generation graduate school. This role owns Customer.io, Calendly, and Help Scout end to end, along with the Airtable automations and integrations that trigger lifecycle messaging. It is accountable for both the strategy behind every applicant touchpoint and the quality of its execution. You will design new lifecycle programs rather than simply maintain existing ones, run a continuous testing roadmap to lift conversion at every stage of the funnel, and serve as the final quality check on every message that reaches an applicant. This is also a role we expect to be reshaped by AI, and we want someone leading that: already using Claude, ChatGPT, and similar tools to draft and pressure-test copy, reason through automation logic, and get more done at a higher standard. We are looking for someone who is equal parts systems thinker and meticulous editor: fluent in automation logic and segmentation, and unwilling to let a broken link, a mis-merged name, or an unclear sentence ever reach an inbox.

Core Responsibilities

Lifecycle Strategy & Customer.io Ownership

● Own Customer.io end to end: campaign architecture, segmentation, data attributes, deliverability, and reporting.

● Set lifecycle strategy, defining which programs should exist, who they target, and what each one is meant to move, rather than only executing an existing roadmap.

● Build and launch new flows across application, invite-to-interview, interview, consult, registration, nurture, and re-engagement.

● Write and edit the copy in those flows so every send is accurate, clear, on-brand, and built around a single obvious next step for the applicant.

● Partner with marketing and admissions leadership on segmentation logic (scholarship, tuition benefit, title and company targeting, T0–T3 segments).

Messaging Quality & Testing

● Own a pre-send QA process and hold the team to it: copy proofing, link and UTM validation, personalization and Liquid logic checks, seed sends, and rendering checks across major email clients and mobile.

● Own the testing roadmap across Customer.io and Airtable-triggered flows: subject lines, body copy, timing, cadence, channel, and segmentation.

● Design each test with a stated hypothesis, a primary success metric, and enough volume to read the result; report honestly when a test is inconclusive.

● Track performance by segment, translate findings into recommendations, and ship the winners.

● Maintain documentation of every live flow, past test, and result so the team has a reliable history of what has been tried.

Airtable & Funnel Infrastructure

● Learn the admissions process cold: the stages, the field logic, and — critically — which Airtable actions trigger downstream flows, so no CRM change is made without understanding its downstream effect.

● Own the Airtable–Customer.io integration layer: the triggers, automations, and data attributes that drive lifecycle messaging, keeping the two systems in sync so flows fire on accurate, current applicant data.

● Partner with the admissions team on schema, field, and view changes that touch CRM triggers, and flag anything that would break a downstream flow before it ships.
● Identify bottlenecks and drop-off across the funnel and bring prioritized fixes to admissions leadership.
● Build reporting views that give leadership a clear, stage-by-stage read on funnel health and conversion.

Calendly & Interview Scheduling

● Own Calendly configuration: event types, routing, availability rules, buffers, reminders, and its integrations with Airtable and Customer.io.

● Manage interviewer calendars and ensure availability aligns with forecasted demand across the US and RoW.
● Reduce no-shows and scheduling friction through reminder sequences, confirmation copy, and reschedule flows.
● Quality check interviewer performance data and flag issues to leadership.
● Ensure interview experiences remain consistent and aligned with admissions standards.

Help Scout Administration

● Administer Help Scout: mailboxes, users and permissions, tags, folders, workflows, and integrations with the rest of the stack.
● Maintain routing and automation rules so applicant inquiries reach the right owner with the right context. (Day-to-day replies and saved-reply content are owned by the admissions team.)

● Report on inquiry volume, response times, and recurring question themes.

● Feed those themes back into CRM messaging so the most common applicant questions are answered before they are asked.

Cross-Team Coordination

● Collaborate with admissions leadership to implement operational improvements.
● Work closely with internal and external stakeholders on CRM updates and requests.
● Support interviewer training by ensuring CRM-triggered flows match the latest admissions methodology.
● Act as the source of truth for what is live: which flows are running, which segments they target, and what each one says.

Requirements

● 2-4+ years of experience in lifecycle marketing, CRM operations, or admissions operations, including ownership of a messaging platform end to end.

● Hands-on experience with Customer.io and Airtable (or comparable tools such as HubSpot, Braze, Iterable, or Salesforce Marketing Cloud).

● Genuinely excited about AI, with hands-on experience using Claude, ChatGPT, and other LLMs to improve both quality and efficiency — drafting and editing copy, QA-ing logic, analyzing results, and automating the work that does not need a human. We care more about how you actually use these tools day to day than about any particular certification.

● A track record of setting lifecycle strategy, not only executing a roadmap defined by someone else.

● Exceptional writing and editing: you can draft a clear, persuasive applicant email, and you catch the error everyone else missed.

● Comfortable building logic-based automations, conditional branching, and data-driven triggers.

● Demonstrated experience designing and reading structured A/B tests.

● Experience administering Calendly and a shared inbox tool such as Help Scout, Front, or Zendesk.

● Analytical mindset, confident working with data to inform decisions.

● Startup, education, or high-velocity funnel experience preferred.
