About the role

Our Campaign Operations team turns plans into live campaigns, ensuring the successful launch and delivery at every step from signed IO through post-campaign reports. Today, much of that work is manual: building folders, chasing vendors, checking contracts against grids, and collecting POPs.

We're hiring someone to run that work well and then replace it. You'll automate, template, and build AI-assisted workflows so the team can handle far more campaigns more efficiently.

You'll spend real time in day-to-day campaign execution, because that's where you'll learn what to fix. We'll measure your success initially by campaign execution and in the future by how much of today's manual process no longer exists a year from now.

What you'll build

  • Map the campaign lifecycle end to end, and decide which steps should be automated, templated, or eliminated.
  • Build automations and AI-assisted workflows for the highest-volume manual work.
  • Turn tribal knowledge into documented workflows, templates, and checklists, and retire them as automation replaces them.
  • Test new AI tools as they emerge and bring forward the ones worth adopting.

What you'll run

  • Campaign execution: Build and maintain the client-facing campaign materials and keep HubSpot current. Manage creative through vendor review and approval ahead of drop-dead dates. Partner with CS on onboarding and client communication.
  • Vendor management: Own day-to-day vendor communication on specs, creative, timelines, and posting details. Run pre-launch check-ins and work with CS to resolve issues in market.
  • Launch and post-launch: Confirm campaigns are live on launch day, including experiential activations. Deliver in-flight and end-of-campaign assets, from photography to final campaign results, to CS and clients within SLA.

What success looks like

  • First 90 days: You can run a campaign end to end. You've mapped where the team's manual time goes. You've shipped your first automation.
  • First 6 months: Several core workflows are automated or templated, and the team runs more campaigns per person as a result.

What we're looking for

  • Experience: 2–5 years in operations, campaign or ad operations, project coordination, or another execution-focused role where you managed multiple deadlines at once.
  • Evidence that you build: You've made something that made work easier, such as an automation, script, spreadsheet system, AI workflow, or small tool. It can be personal, academic, or professional.
  • Real AI use: You've used AI tools like Claude or ChatGPT to restructure or automate an actual task, not just answer questions.
  • Tool fluency: You pick up new tools quickly. Experience with HubSpot, Google Workspace, Slack, Zapier, n8n is a plus.
  • Attention to detail: You catch the error before it becomes a miss for a customer.
  • Clear communication: Your writing to vendors, clients, and internal teams is clear and timely, and you follow up without being chased.
  • Ownership: When something breaks, you see it through to resolution. Then you fix the process that caused it.
