Key Responsibilities

  • Coordinate pickup appointments with customers, suppliers, carriers, and internal operations teams.
  • Maintain accurate customer, supplier, pricing, shipment, and transaction data in CRM and ERP systems.
  • Monitor orders and pickups from scheduling through completion, ensuring timely follow-up.
  • Identify and communicate discrepancies involving weights, pricing, purchase orders, invoices, and shipment documentation.
  • Work with Commercial, Operations, Logistics, and Finance teams to resolve day-to-day issues.
  • Maintain organized and complete commercial records, including contracts, purchase orders, shipping documents, and customer correspondence.
  • Provide timely updates to customers and internal stakeholders regarding pickup schedules, order status, delays, and required actions.
  • Support customer and supplier onboarding, including collecting necessary documentation and setting up accounts.
  • Prepare reports and track key commercial metrics, such as volumes, open orders, pickup status, and transaction accuracy.
  • Assist the Commercial team with administrative tasks, customer follow-ups, meeting coordination, and sales documentation.
  • Help improve workflows, data quality, and communication across commercial operations.
  • Build effective working relationships with customers, suppliers, logistics providers, and other partners across the rare earth and permanent magnet supply chain.

Qualifications

  • Diploma or bachelor’s degree in business administration, supply chain, logistics, sales, or a related field.
  • Two or more years of experience in sales support, customer service, logistics coordination, commercial operations, or administration.
  • Experience working with CRM and ERP systems; proficiency with Microsoft Office, particularly Excel and Outlook.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High attention to detail and commitment to maintaining accurate customer, shipment, pricing, and transaction records.
  • Excellent written and verbal communication skills.
  • Strong problem-solving skills and the ability to identify discrepancies, investigate issues, and coordinate timely resolutions.
  • Ability to work effectively with Commercial, Operations, Logistics, Finance, customers, suppliers, and transportation partners.
  • Demonstrated sound judgment, professionalism, and discretion when handling confidential commercial information.
  • Self-motivated, proactive, and comfortable working independently while contributing to a collaborative team.
  • Ability to adapt to changing priorities, processes, and business requirements as the company grows.
  • Experience in recycling, scrap metals, automotive, manufacturing, mining, or rare earth materials is an asset.
  • Familiarity with purchase orders, invoices, freight documentation, weights, pricing, and material transactions is an asset.
Pay Range$50,000—$65,000 CAD

The base compensation offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
