Job Summary

The Executive Marketing Assistant plays a strategic support role, providing high-level executive assistance to the Chief Marketing Officer and senior marketing leadership while also managing key marketing projects across the organization. This role ensures leadership priorities are executed efficiently, enables effective cross-functional collaboration, and supports the successful delivery of marketing initiatives. The position combines executive support responsibilities with project management oversight to drive operational excellence within a dynamic marketing environment. The role operates with a high level of autonomy, organization, and attention to detail.

Responsibilities

Executive Support

  • Manage complex calendars, scheduling, and travel arrangements for the CMO and up to three Vice Presidents
  • Coordinate and prioritize executive communications, requests, and action items
  • Prepare agendas, presentations, reports, and briefing materials for leadership meetings
  • Coordinate leadership meetings, executive reviews, and board-level presentations
  • Serve as a liaison between executive leadership, internal teams, and external partners
  • Handle highly confidential information with discretion and professionalism
  • Track follow-ups and ensure timely completion of deliverables and commitments

Marketing Project Management

  • Manage and coordinate marketing projects from initiation through completion, ensuring alignment with timelines, budgets, and objectives
  • Develop project plans, timelines, and status reporting for cross-functional initiatives
  • Conduct research and support strategic marketing initiatives
  • Facilitate collaboration across marketing functions including brand, digital, communications, and loyalty
  • Monitor project progress, identify risks, and escalate issues appropriately
  • Lead project status meetings and maintain documentation
  • Track deliverables, dependencies, approvals, and milestones
  • Coordinate with vendors, agencies, and partners

Department Operations & Coordination

  • Support annual planning processes and track departmental goals and engagement initiatives
  • Develop and maintain project tracking tools, workflows, and dashboards
  • Monitor project performance and key departmental KPIs
  • Support internal communications and employee engagement efforts
  • Coordinate team meetings, offsites, and special events
  • Maintain organized records of marketing initiatives and business documentation

QUALIFICATIONS

Employment Experience

  • 5+ years of experience in executive support, project management, marketing operations, or a related field
  • Experience supporting senior or C-level executives preferred
  • Experience managing multiple, concurrent projects in a corporate or marketing environment

Technical Skills

  • Advanced proficiency in Microsoft Office Suite and collaboration tools
  • Experience with project management tools
  • Strong presentation development skills (PowerPoint or equivalent)

Salary Range

The salary range for this position is $80,000.00 to $117,552.00.
